Annual Meeting Planning and Execution Division of Labor Guide
2017 is almost over! Is your boss already urging you to submit the annual meeting plan? Are you feeling overwhelmed with no clue where to start? Are you tired of the dizzying array of annual meeting ideas online?
In general, annual meetings are tailored to industry characteristics, company personnel composition, corporate culture, seasonal factors, and budget. Common types include client appreciation, employee summaries, company reviews, company socials, year-end awards, and company dinners.
It's best to form a dedicated temporary committee to handle the specifics. This ensures clear division of labor and boosts efficiency. First, determine the meeting's theme and build the plan around it. Then, specify the time, location, attendees, activities, and schedule in a detailed proposal. Finally, after leadership approval, implement and oversee the plan. Here's a breakdown:
1. Purpose of the Annual Meeting
All annual meetings, whether for client appreciation, employee rewards, or company summaries, serve two perspectives: the company and the employees. Leadership wants well-delivered speeches, smooth activities, and a successful event. Employees simply want good food, drinks, and fun.
2. Theme
Most company annual meetings share a common theme, which can be summed up in eight words: review the past, look to the future. The planning committee can brainstorm internally, or hold a company-wide contest with prizes to build excitement beforehand.
Themes are best expressed as slogans, such as "Love our [Company], unite and strive, create the future," "Celebrate achievements, paint a blueprint, new leaps," or "Integrate, share, win-win." Get creative based on your company's situation.
3. Format
Common formats include:
(1) All-Hands Meeting + Performances
This combination typically takes a full day. The morning features a serious all-hands meeting with leadership speeches, team showcases, assignment of new year tasks or "military orders," restructuring announcements, and new appointments. Employee and team awards are often woven into the afternoon performance segment.
(2) Dinner + Performances
Departments submit performance proposals, which are then reviewed and rehearsed. Venue selection is simple—most hotels offer stage setup services. You just need to organize the venue decoration and prizes.
Typical acts include singing, skits, dancing, and crosstalk, plus a humorous leadership performance. The host bears the most pressure, needing to keep the show flowing and adapt on the spot; the DJ also must stay highly focused to coordinate with the acts.
Performances are judged by employees, and at the end, winners are announced with commemorative prizes or bonuses. Alternatively, you can hire a professional performance team to bring the event to a climax before dinner begins.
(3) Company Trip
If the budget allows, outsourcing the trip to a travel agency is simple and fun. For this season, popular long-distance destinations include sunny Hainan, Harbin's ice and snow, colorful Yunnan, Xinjiang adventure, and Urumqi winter tours—all well-loved and affordable options offered by travel agencies.
Closer options include farm stays, mountain resorts, bonfire parties, and large outdoor barbecues. If the budget is generous, consider overseas trips to countries like South Korea or Thailand, typically costing around 3,000–6,000 RMB per person depending on group size.
For international trips, ensure everyone has their passports ready. All add-ons can be negotiated with the travel agency, and such trips are always a hot topic.
Depending on company size, smaller companies often opt for a simple dinner, while larger companies have more elaborate events with more activities, showcasing the creativity of a bigger team. Of course, some envy-inducing annual meetings in finance, real estate, and tech giants feature massive year-end bonuses, with employees carrying bags of cash home, or trips to Hainan, overseas adventures, and themed parties that leave others green with envy.
For the schedule, describe it in text. For example: This year's format is suggested as "All-Hands Meeting + Performances." In the morning, screen a company documentary, have the chairman summarize the year's performance, assign new tasks to departments, and showcase elite teams. In the afternoon, departments present performances, interspersed with awards for outstanding employees and teams. A buffet lunch will be held in the venue at noon.
