Annual Meeting Planning: Purpose, Formats, and Budget

Published: 2022-12-13

An annual meeting is a corporate event, an indispensable part of business operations, and a platform for interaction between employees and leadership once a year. In the mobile internet era, it can also serve as a marketing tool. Today, annual meetings are increasingly valued, with dedicated personnel or professional PR event companies entrusted to organize them. So how do you plan and execute an annual meeting? From the perspective of a PR event company, here's our understanding:

I. Purpose of the Annual Meeting

"An annual meeting without a purpose is dispensable."

There are team-building annual meetings, corporate culture promotion meetings, interactive exchange meetings, dealer meetings, training institution student meetings, educational institution student meetings, client appreciation meetings, and more. Different participants mean different natures and purposes, which in turn affect venue selection, theme determination, and planning direction. Therefore, defining the purpose of the annual meeting is extremely important. However, in practice, many annual meetings combine multiple purposes and types. For us as professionals, prior communication and empathetic thinking are crucial.

Take a typical annual meeting with 150 attendees at a five-star hotel ballroom as an example.

Companies usually require adding elements to the venue to showcase corporate culture and review the year's journey. Such elements are often reflected in the foyer decoration.

The image above shows a foyer display that metaphorically represents corporate culture as a "green tree of life" and incorporates interactive communication features.

The tree is 5 meters high and 6 meters wide, made of eco-friendly fiberglass, steel frame structure, and highly realistic dense foliage.

The main hall typically requires coordination of sound, light, and electricity. Currently, LED screens are popular, often designed as a main visual screen complemented by auxiliary screens.

The quality of lighting design and professionalism determines the overall quality of the annual meeting.

It's a professional matter that is hard to explain simply, but the principles are:

1. Determine the main color tone for the entire venue lighting.

2. Lighting effects should align with the annual meeting agenda.
II. Formats of the Annual Meeting
The formats can be categorized as follows:

1. Performance and dinner annual meeting. Emphasizes employee performances and participation, interspersed with games and lucky draws.

2. Travel and team-building annual meeting. Choose a tourist city or scenic spot, hold the performance and interactive annual meeting at a nearby hotel, typically lasting 2-3 days: day one for the annual meeting, day two for sightseeing, and day three for departure.

3. Alternative home party annual meeting. Suitable for small companies; disadvantage is lack of theme, purely interactive.

4. Cocktail party annual meeting. High-class, business-oriented, suitable for client appreciation.
III. Budget for the Annual Meeting
It's important to say it three times: budget matters, budget matters, budget matters!
As the saying goes, you get what you pay for. In this era of knowledge economy, expecting big results from a small budget is unrealistic!

Impact of Budget
1. Hotel tier;
2. Catering standard;
3. Type, price, and quantity of gifts;
4. Lighting effects;
5. Venue decoration;
6. Others.

General Budget Guidelines (based on number of attendees):
Around 15 people: 15,000 RMB, usually a dinner with bonuses.
Around 50 people: 40,000 RMB;
Around 100 people: 80,000 RMB;
Around 150 people: 100,000 RMB;
Around 200 people: 150,000 RMB.

The above guidelines are for reference only; actual budgets depend on specific circumstances.
