7 Key Points for On-Site Event Execution

1. Coordination

Events require manpower. When developing the execution plan, clarify responsibilities based on actual conditions to facilitate on-site coordination and dispatch.

(1) Staff. Establish an organizational structure for the event, defining various work groups and their duties, including overall coordination, copywriting, execution, on-site management, engineering, security, reception, and protocol. Personnel from partner and sponsor units should seamlessly connect with each group to avoid information gaps or omissions.

(2) Guests. Carefully plan attendance, properly arrange agenda, transportation, accommodation, and catering. When attending the event, guests should be accompanied by leaders of the same level.

(3) Host. The host is the soul of the event. Select the host carefully before the event, ensuring they match the event's tone, and conduct thorough pre-event communication.

2. Construction

According to the planning and design, complete stage construction and decorative setup, including stage lighting, audio equipment, and projection. Pay special attention to electrical load and safety. For outdoor events, complete approval procedures in advance, consider uncontrollable factors such as weather, and develop contingency plans. After construction, organize acceptance inspections and urge rectification of any non-conformities to meet event requirements.

3. Environment

The event site should meet basic requirements of cleanliness, hygiene, tidiness, no unpleasant odors, and clear signage, making it easy for attendees to follow directions to the venue. If there is an underground parking area, ensure proper signage. Create a good event atmosphere through on-site decoration and music.

4. Safety

The event organizer should report to local public security authorities as appropriate, allocate medical resources, and ensure personnel safety, stage and equipment safety, fire safety, and public security. In case of emergencies, the on-site manager should activate emergency plans, resolve issues quickly, and minimize negative impact.

5. Materials

Create a material checklist, assign each item to a responsible person, and ensure items are delivered on time, in the correct quantity, and to standard, without omissions. This includes on-site materials such as display boards, props, screens, and stanchions, as well as event materials like promotional materials, attendee badges, pens and paper, trophies and medals, and gifts. Keep a certain surplus to accommodate urgent needs.

6. Process

Rehearsal is a critical factor in the success of an event. During rehearsal, all staff should follow their roles and responsibilities, run through the normal process, and optimize any shortcomings. During execution, follow the planned schedule, work in sync, and ensure smooth, uninterrupted flow.

7. Publicity

During the preparation phase, the copywriting team should prepare press releases and WeChat articles in advance. Arrange photographers and videographers on-site, arrange live streaming as needed, publish articles promptly after the event, and follow up with media outlets to ensure coverage.
