How Meeting Organizers Choose a Conference Hotel

With the increasing variety of hotels available, how should meeting organizers choose a venue for their events? What aspects need attention? The following content is for reference.

1. Create a checklist. It is essential to prepare a venue checklist that outlines all important requirements for the meeting. A well-designed checklist will facilitate comparison and selection among venues.

2. Choose the appropriate type of venue. The selection should be based on the local availability of conference resources, the meeting's agenda, expected number of attendees, their backgrounds, and most importantly, the meeting's purpose, objectives, and attendee preferences.

Types of conference hotels:

I. By type

Business hotels: These hotels, whether in exterior design, interior decoration, or the provision of advanced communication tools and suitable commercial spaces (with dedicated business floors), fully embody the efficiency and speed of modern business. They can host both small and large meetings, have one or more multifunctional halls, operate 24/7, and offer strong service capabilities. Additionally, they feature multiple Chinese and Western restaurants, various shops, a gym, and a swimming pool.

Resort hotels: These hotels are typically located in tourist destinations or by the sea. Their exterior design, landscaping, and interior decoration fully reflect local characteristics, combining leisure and entertainment. As society evolves, resort hotels also provide conference facilities, cuisine, and activities that represent local and seasonal features, greatly benefiting meeting organizers.

II. By location

1. City center

When choosing a hotel in the city center, consider the distance from the airport (including traffic congestion). If attendees come from domestic or regional areas, selecting such a hotel is wise. Meeting planners often prefer city-center hotels with comprehensive facilities and services, as they offer many activities for attendees' families. Some hotels are renowned for excellent service, and their good reputation often makes them the top choice for meeting venues.

2. Suburbs

For attendees flying in from other cities, suburban hotels may not be very appealing. The travel time from the airport to the venue and accommodation can be considerable, making such hotels less suitable. However, for local attendees who can drive, these hotels are quite popular.

3. Matching meeting types with venues

The best environment for training activities is an adult education facility with dedicated staff and equipment (such as a company's professional training center or a training site at a resort). Research and development meetings require an environment conducive to contemplation and inspiration (training centers or other quiet venues are most suitable). Annual society meetings are typically located based on member preferences (usually in popular cities with conference services). Major incentive and recognition meetings must be upscale and appealing, as their purpose is to reward outstanding performance. For trade shows and new product launches, venues with exhibition halls are necessary, and convenient transportation to the host city is essential.

4. Conduct on-site inspections

When conducting on-site inspections, pay attention to the following five points: Meet with decision-makers to facilitate resolution of potential transaction issues; visit on the date suggested by the hotel, preferably not when the hotel is fully booked, as this may incur direct costs; do not revisit the hotel for personal reasons; do not bring family members; consider whether to visit incognito as a regular guest to check the hotel's reception of guests, or to notify the hotel in advance to visit as a VIP to see how they handle VIPs; consider another hotel as a backup to avoid being at a disadvantage if negotiations fail.

5. Considerations during site visits

Before conducting a site visit, check whether the prerequisites are met: The hotel accepts and agrees to the meeting specifications; the hotel is one of the better candidates on the shortlist; and you generally accept the contract terms proposed by the hotel.
