Key Considerations for International Exhibition Planning

Published: 2022-12-13

When organizing an international exhibition, it is important to choose a suitable location and ensure good visual effects and on-site equipment. Below are some key considerations for international exhibition planning.

Key Considerations for International Exhibition Planning

1. Reception Issues

When welcoming international attendees at the airport, it is advisable to have staff familiar with various languages to assist with necessary procedures. For transportation, taxi and shuttle services should be provided. The organizing institution should ensure that appropriate taxi services are available at the attendees' port of entry (usually the airport) and at the venue. Shuttle buses are typically provided free of charge as part of the host's services. For VIP clients, additional assistance such as hotel booking and itinerary planning can be offered.

2. On-Site Arrangements

At the entrance, comfortable and well-equipped registration desks should be set up, ideally with multilingual support. Bilingual exhibition maps, directories, and attendee guides should be provided on-site. The information desk should offer relevant assistance. Exhibitors and attendees should register in advance by contacting the organizing institution, and their information should be entered into the database system for easy confirmation. Other visitors must fill out forms at the entrance and may provide business cards for future database records. Entering data directly into the system is crucial, as this database is used to monitor participation and extract statistics for post-event press releases and reports, providing valuable references for future exhibitions. Additionally, on-site equipment should be fully equipped, including Wi-Fi services, telephones, photocopiers, and more.
