Setting Clear Goals: The First Priority in Event Planning

Published: 2026-08-04

Tuoyuan Insight: Every event should have a clear goal. Like a ship sailing on the vast ocean, without a determined direction, it will get lost.

To ensure that the investment of money, effort, and time by the host company yields results and returns, event planning must not only meet the company's expectations but also those of the guests. Therefore, it is necessary to set event expectations, maximize guest participation, strive to achieve all event objectives, and convey the deeper meaning behind the event.

Event goals can be tangible or intangible and may be achieved before, during, or after the event. For example, in a sales incentive event, participants are necessarily those who have already met certain sales targets, so this is a type of goal achieved before the event. Additionally, event goals can build a platform and establish positioning for achieving higher-level objectives in future events. The goals must make both the host company and the participating guests feel that the event is worth the value, and must balance the interests of both parties, and vice versa.

For instance, a company intended to use an event or a series of events to increase employee efficiency during work hours, enhance dedication, reduce accidents, and lower healthcare costs. To achieve this, they organized health-themed activities for employees and their work environment. Those who performed well could participate in an annual all-expenses-paid three-day reward trip to climb a 14,000-foot (4,300-meter) peak in Colorado. This reward event was a key component of many health-themed activities, with the aim of achieving personal fitness goals. The event achieved remarkable results, with the number of qualified employees increasing each year. The company's healthcare costs dropped to half the regional average, saving 2 million yuan annually—just from this one goal, the benefits far exceeded the annual event investment of 400,000 yuan. Additionally, over the years, the company's accident compensation payments to employees decreased from 500,000 yuan to 10,000 yuan. Moreover, the company cultivated proactive, optimistic, and highly efficient employees.
