As a PR company or corporate event planner, planning a large-scale event often brings challenges. What are the techniques and considerations for large-scale event planning? The following shares key points from eight aspects.

01 Quantify Goals

For PR activities, especially large-scale ones, communication costs in major cities typically range from hundreds of thousands to millions. Such significant PR investment is made to meet the company's communication needs, to build brand awareness, recognition, and reputation, and to encourage more target consumers to purchase products—these are the goals of the PR event.

It is unwise to spend a huge amount on an event without clear goals. Some companies blindly follow trends, imitating others' holiday events without understanding why they are doing it or what concept or selling point they want to communicate, resulting in wasted money and effort with poor results.

Some companies have goals but confuse purpose with goals. For example, they aim to increase awareness or boost sales, but without quantifying the percentage of awareness or the monetary value of sales, the direction becomes vague, and the event yields little. Therefore, goals must be quantified. Only with quantified goals can the planning and implementation of PR events have clear direction and avoid detours.

02 Focused Communication of Selling Points

With the continuous emergence of new PR tools and technologies, PR media, like news media and advertising media, are undergoing a revolution. New media such as the internet are being applied to PR events.

However, a PR event itself is a communication medium. It possesses many characteristics of mass media. Its role, compared to mass media, is that it does not have a communication effect before implementation, but once the event is underway, it can generate strong communication effects.

Because PR events emphasize both organizational and public interests, they have broad social communicability. They naturally attract public and media participation, using the event as a platform to spread messages through the public and mass media.

When planning and implementing PR events, equipping them with well-prepared conference publications, contact lists, internal magazines, promotional materials, etc., to integrate communication resources can enhance the value and effectiveness of the PR event.

04 No Investigation, No Right to Speak

Many domestic PR companies, when conducting PR events, often omit the important step of public research due to lack of awareness or limited research capabilities, low agency fees, or tight schedules. This is a common occurrence.

Coming up with a good idea and picking a suitable date to hold a PR event is a common flaw of some so-called "experts." But "no investigation, no right to speak." "Know yourself and know your enemy, and you will never be defeated." Only by understanding your own strengths and weaknesses, discerning public psychology and needs, grasping competitors' market dynamics, and conducting comprehensive analysis and forecasting can you leverage strengths, avoid weaknesses, adjust your PR strategy, and achieve success.

PR practice shows that the feasibility of the PR event, budget, public distribution, venue and transportation conditions, and relevant policies and regulations should all be investigated in detail, then compared, forming an analysis report, and finally making objective decisions.

05 Thorough Planning, Meticulous Execution

The most important point in PR event planning is thoroughness. This is because PR events give us only one chance for success or failure. PR events are not like making a movie or TV show; they cannot be redone. Each event is a live broadcast. Once a mistake occurs, it cannot be remedied, so we must never be careless.

06 Turn Crises into Opportunities

Large-scale PR events have a certain degree of uncertainty. To prevent unexpected incidents, PR personnel should maintain a strong sense of crisis during planning and implementation, fully anticipate possible risks, and formulate corresponding countermeasures.

Only by eliminating all risks can the planned scheme be guaranteed to be realized. In case of an emergency, adapt to the situation, do not panic, do not complain, keep a clear head, stay calm, quickly find out the cause and confirm the facts.

If a negative impact has been caused, one method is to apologize to the public in a timely manner, prevent recurrence, avoid establishing adversarial relationships with different media, avoid negative reports, and strategically handle media and public relations; otherwise, repair is difficult. Another method is to turn the crisis into an opportunity, using the unexpected event to expand the scope of communication, using public opinion to convey sincerity, and gaining public support, turning passivity into initiative.

07 Comprehensive Evaluation

When evaluating PR events, often only the implementation effect is assessed, which is not comprehensive enough.

If, in addition to the implementation effect, the evaluation also covers whether the event goals were correct, whether the selling point was distinct, whether the budget was reasonable, whether the input-output ratio was proportional, whether public data collection was comprehensive, whether the media mix was scientific, whether public and media relations were further consolidated, whether social resources increased, and whether satisfaction levels were quantified, then the overall effect of the PR event can be reflected.

This comprehensive evaluation is conducive to performance assessment and accountability, and it also increases experience, laying a foundation for the planning and implementation of the next PR event.

08 Use PR Methods to Solve PR Problems

Society's understanding of PR activities has had different misunderstandings in different periods, and some media's incorrect guidance has deepened this erroneous perception. In recent years, a new misunderstanding has emerged: equating PR events with promotional activities. In reality, their purposes, focuses, and methods are different.

  • The goal of PR events is to enhance reputation and affinity; the goal of promotional activities is to increase sales and market share.
  • The focus of PR events is the public, media, and government; the focus of promotional activities is consumers.
  • PR is a social behavior, while marketing is an economic behavior; PR events focus on the public, while promotional activities focus on consumers. PR and marketing are quite different, and marketing methods are not suitable for solving PR problems.

PR events have many publics; consumers are just one type. Different publics require different PR methods. Enterprises need both marketing and PR functions, and these two functions cannot be used interchangeably. Therefore, we must step out of the misunderstanding that "PR events are just promotions" and use PR methods to solve PR problems.

Planning and implementing PR events requires experience accumulation. PR events should emphasize planning, but even more so implementation. As long as we continuously summarize experience and apply it in practice, we will certainly plan and implement more, more influential, and more successful PR events.
