When inviting media to an event, consider how they will participate and whether they will attend as invited guests. If holding a dedicated press conference, clearly define the invitation requirements for media and the expectations for their attendance, and try to meet their needs to benefit the event. Media typically require cable laying, power outlets for their equipment, and parking spaces; if live broadcasting or special interviews are needed, ask in advance about any additional space or equipment they may require. It is best to prepare these in advance and designate staff to serve the media, ensuring they can access the people they wish to interview. Additionally, prepare promotional materials for the media in advance to facilitate early camera setup.

For example, when hosting a celebrity event in a banquet hall, planners and execution staff can prepare a fully equipped and quiet room for the media in advance, set up press materials and refreshments, and arrange for staff to bring key interviewees into the room for photos and interviews, avoiding interruptions to the event flow.

Media personnel are often pressed for time, so planners must respect their time and not overlook the important role media play in positive event coverage. Cooperate and coordinate with the media as much as possible to promote mutual success. Media may need a private room for photos and interviews. Media choose from many events to attend; to make them choose yours, ensure they feel comfortable and that things go smoothly in your interactions. Work to build a working relationship with the media, while understanding that they may be called away by breaking news.
