3 Key Principles for Writing Public Relations Event Planning Proposals

Published: 2022-12-13

To secure the client's approval on the overall direction and core content, and to achieve strategic quick buy-in, the proposal itself must possess strong ideological and situational immersion. Beyond the ordinary流水式 writing style, several basic principles need to be mastered.

3 Key Principles for Writing Public Relations Event Planning Proposals

1. Understand the client's intent and establish the central theme

What effect should the event achieve, and what kind of concept should be used to impress the audience so that the event can achieve the expected on-site results? Analyzing the needs and concerns of the event's target audience becomes the primary entry point. For example, for a company annual meeting, the audience is mainly internal employees. What employees hope to gain or focus on might be revelry, rewards, luck, etc., so the corresponding theme should be joyful and liberating.

For a dealer annual meeting, which involves more communication, exchange, and rewards, companies often unilaterally announce policy decisions, which carries more self-interest and fails to achieve the expected results. This approach often leads to participant resistance and resentment. Instead, creating an atmosphere of brand belonging and honor is key to inspiring each dealer's pride. Participants feel proud to be part of the brand, and the meeting can be approached from angles such as motivation and gratitude.

Another type is a small-scale mobilization meeting, which also requires skill. Invited guests often have a sense of self-importance and superiority, so controlling the pace of the meeting and stimulating participation becomes even more crucial. In a closed environment, people's emotions are greatly influenced by the physical and psychological surroundings; a oppressive or relaxed environment directly affects whether participants raise or lower their defenses.

2. Develop the theme layer by layer and vividly present viewpoints

To gain client approval for a concept or theme, strategic articulation is particularly important. The strategic preamble will determine the approval rate of all subsequent content in the proposal.

Before elaborating on a core concept, a high-level insight and overarching viewpoint will quickly bring the client's thinking into the proposal's mindset. Of course, this presupposes a deep analysis of the client's intent, extracting and summarizing the client's subconscious thoughts or our conjectures, and presenting them as the thematic foundation in the proposal. Among the methods for constructing arguments are negation, analogy, and citation.

3. Creativity is everywhere, always staying close to the theme

For each segment of the event, creativity should make participants interested or find it novel and fun; this is a basic requirement. These creative forms in different segments need to be well tied to the theme or main line. For example, if the theme is a pre-battle meeting, then elements from the military and war events should be explored as much as possible.

Even if the theme is broad, it should be expressed using words that are more associative or have concrete characteristics. Associative words are also relatively easier to extend and become sub-themes for each segment.
