Key Techniques for Large-Scale Event Execution

Published: 2022-12-13

Issues to note during implementation and operation

1. Operational design.

We should attach great importance to the operational design of the implementation plan. We see that activities organized by some organizations, even those undertaken by professional agencies, have such problems: the creativity is good, but due to lack of operational design, many problems arise during the operation, deviating from the original spirit or not reaching the original level. Therefore, after the principle plan is determined, further operational design must be carried out, and the operational design must include relatively accurate financial budgeting.

2. Handle approval procedures.

Some people find it cumbersome to go through approval procedures and are afraid of trouble. But in actual work, we should hope to obtain approval from relevant units.

3. Manage the implementation operation procedures.

Program management is a scientific management awareness. Only through program implementation can standardized and scientific management be achieved. Therefore, the key to implementation design is to design standardized operating procedures.

4. Program training.

In large-scale events, if the participating staff do not understand the overall planning intent, they cannot provide constructive labor for the implementation of the event strategy. Therefore, staff need to be trained on the plan. Only when they are informed can they contribute effectively.

5. Design evaluation criteria.

The evaluation of a large-scale event should have accurate evaluation criteria. Currently, after many plans are completed, the evaluation criteria plan is often overlooked, including that our clients rarely ask us to make an evaluation plan, and are even less willing to pay fees for professional companies to provide evaluation reports. Evaluation criteria should be designed during the planning stage, so that after the client completes the plan, they can make a scientific evaluation based on the set criteria.

Key Techniques for Large-Scale Event Execution

Planning techniques

First, create the 'eye' of the event. The concept of 'eye' is derived from the 'eye' of an article or a song.

Large-scale event planning also needs to create such a wonderful highlight, with a climax, and design this segment to be more communicable. This is the core and key of large-scale event creativity.

Second, there should be an atmosphere design that can express our theme.

Today, everyone saw the theme image display boards at the conference venue. They are clear and have both Chinese and English. These boards bring out the theme atmosphere of the conference and also convey the concept of international public relations exchange. This is a thoughtful planning. We should pay attention to bringing out the theme atmosphere through venue design and atmosphere design. Many people often do not pay enough attention to this; they only consider creativity in a certain activity segment, ignoring the creativity of the venue.

In the planning and implementation of large-scale events, there are many other techniques that can be used. As long as we continuously summarize and improve, we will surely create more and more influential large-scale events.

Event planning and implementation are common technical means used by corporate planning departments, PR companies, planning companies, and advertising agencies in their work. Successful events can continuously enhance brand awareness, recognition, reputation, loyalty, customer satisfaction, improve organizational brand image, change public perceptions of the organization, accumulate intangible assets, and promote sales to varying degrees. Many organizations have run large-scale events, but public relations activities without goals, without focus, with a strong start and weak finish, and lacking rigor are common. Some activities fail due to inadequate planning or poor crisis management, resulting in significant losses, or even accidents causing casualties and legal sanctions.

There are conventional methods to follow in event planning, but there are also many techniques. Three parts planning, seven parts implementation.

1. Goals must be quantified.

Large-scale public relations activities often consume a lot of human, material, and financial resources. The launch communication cost for a new product in a central city is generally over one million yuan. Why make such a large investment? For the enterprise's communication needs, to build brand awareness, recognition, and reputation, and to encourage more target consumers to purchase their products—this is the goal of a new product launch public relations activity.

It is not advisable to spend huge sums on activities without goals, and it is not worthwhile if goals are unclear. Some enterprises set many goals for their activities, such as improving awareness, reputation, and promoting sales, but without quantification (percentages for awareness and reputation, monetary amounts for sales), the direction is vague, and they mistakenly treat purpose as goals. Goals must be quantified; they are not wishful observations but achievable targets. Only with quantified goals can event planning and implementation have a clear direction and avoid detours.

2. Focus on communicating one selling point.

Large-scale events are a platform to showcase corporate brand image, not general promotional activities. The event's selling point (theme) should be determined and used as the basis and main line for planning. Many activities that spend a lot of money without a clear focus leave no deep impression. Only by refining a distinct selling point, creating the event's 'eye' and communicating it, can relevant resources be integrated to achieve the event's goals. The selling point here is the most exciting and expressive part of the event segment design—a moment that, even years later, when most details are forgotten, people can still recall.

Event planning needs to create such a wonderful climax, and this climax segment should be designed to be more unique, relevant, and easy to communicate. Of course, focusing on one selling point does not mean only communicating one piece of information, but rather combining the event goals and target audience factors, highlighting one selling point, and improving the effectiveness of the event.

3. The event itself is a medium.

With the continuous emergence of new tools and technologies, new media such as the internet are being applied to public relations activities. Little do people know that the event itself is a communication medium. It has many characteristics of mass media. Compared with mass media, its role is that it does not have a communication effect before the event is implemented, but once the event is underway, it can produce good communication effects. Because events value both organizational and public interests, they have broad social communicability and can attract public and media participation. Using the event as a platform, information is spread through the public and mass media. When planning and implementing activities, equipping them with good corresponding conference publications, address books, internal publications, promotional materials, etc., to integrate communication resources can enhance the value and effect of the event.

4. No investigation, no right to speak.

Many domestic PR companies, when organizing activities, often omit the important step of public research due to lack of public research awareness or limited research capabilities, low agency fees, tight schedules, and other reasons. Coming up with a good idea and picking a suitable date to hold an activity is a common problem among some so-called 'masters'. But 'no investigation, no right to speak'. 'Know yourself and know your enemy, and you will never be defeated.' Only by understanding your own strengths and weaknesses, discerning public psychology and needs, grasping the market dynamics of competitors, and conducting comprehensive analysis and prediction can you leverage strengths and avoid weaknesses, adjust your public relations strategy, and win the success of the public relations activity. The feasibility of the activity, budget, public distribution, venue and traffic conditions, relevant policies and regulations, etc., should all be investigated in detail, then compared, forming an analysis report, and finally making an objective decision.

5. Planning must be thorough, and operation must be rigorous.

What are the techniques for event planning? The key point is one: thoroughness. This is because an event gives us only one chance for success or failure. An event is not like making a movie or TV show; it cannot be redone. Every time is a live broadcast. Once a mistake occurs, it cannot be remedied, so we must never take it lightly.

6. Turn crisis into opportunity.

Large-scale events have a certain degree of uncertainty. To prevent unexpected incidents, staff should have a strong sense of crisis during planning and implementation, fully predict possible risks, and formulate corresponding countermeasures. Only by eliminating all risks can the formulated plan be guaranteed to be realized. In case of an emergency, respond flexibly, do not panic, do not complain, keep a clear head, stay calm, quickly identify the cause and confirm the facts.

If negative impact has been caused, one method is to apologize to the public in a timely manner, prevent further occurrences, avoid establishing adversarial relationships with different media, avoid negative reports, and strategically handle media and public relations; otherwise, repair will be difficult. Another method is to turn crisis into opportunity, using the unexpected event to expand the scope of communication, using public opinion to convey sincerity, winning public support, and turning passivity into initiative.

7. All-around evaluation.

When evaluating an event, often only the implementation effect is evaluated, and the evaluation is not comprehensive enough. If, in addition to the implementation effect, the evaluation also covers whether the event goals were correct, whether the selling point was distinct, whether the budget was reasonable, whether the input-output ratio was proportional, whether public data collection was comprehensive, whether the media mix was scientific, whether public and media relations were further consolidated, whether social resources increased, and whether satisfaction of all parties was quantified, then the overall effect of the public relations activity can be reflected. This all-around evaluation is conducive to performance assessment, accountability, and can increase experience, laying a foundation for the planning and implementation of the next event.

Event planning and implementation require experience accumulation. Large-scale events should emphasize planning, but even more so implementation. There are many techniques that can be used in event planning and implementation. As long as we continuously summarize experience and apply it in practice, we will surely plan and implement more, more influential, and more successful events.
